Not a Western letting product with a Thai menu bolted on. Meter readings, PromptPay, LINE, a bilingual lease and the real Thai address tree were the starting point, not features added later.
What this is
One system for a building, from the meter to the receipt
Track My Room is a web application for the people who run apartment buildings, condominium units, hostels and small hotels in Thailand. It holds the property, its buildings, its floors and its rooms; the people staying in them by the night or by the month; the water and electricity readings; the money that moves; and the documents that prove it.
It is one system rather than five, because the alternative most owners are living with is a spreadsheet for the rent, a notebook for the meters, a drawer for the contracts and a phone gallery for the transfer slips — and none of those four know anything about each other.
Who it is for
Built for the owner who is also the manager
The plans go up to five properties and a thousand rooms, but the software was designed around somebody who knows every room in the building by number.
Apartment and rental-room owners
Monthly tenancies, meters, deposits, and a rent cycle that raises itself overnight.

How it is built
Four decisions that shape everything else
Money is a ledger, not a status
Charges and payments are the books. Invoices and receipts are documents produced from them, numbered in two proper books. A mistake is corrected by issuing a further document, so the record of what actually happened always survives — which is what you want the day somebody disputes an invoice.
A figure is frozen the moment it is agreed
A tenancy keeps its own copy of the rent, the deposit and the unit rates from the day it began. Reprice a room next year and the tenant who moved in last year is untouched.
Thai and English, everywhere, from the start
Not an interface translation over an English database. Property and room names are stored in both languages, the address tree is the real Thai province, district and sub-district data, and the lease prints in both — because a document only one party can read is not a contract anybody should rely on.
Nothing is thrown away
Records are switched off rather than deleted, so a room you take out of service frees its allowance while its whole history stays intact and searchable. Stop paying us and it is all still there.

What we do with what you trust us with
Running a building means holding other people's personal data — names, ID documents, addresses, what they pay. Here is how we treat it.
Your tenants' data is yours
You are its controller. We process it on your instructions and for nothing else — we do not sell it, share it with advertisers, or market to anybody in your account.
ID documents are kept private
Photographs of identity documents, property logos and cover pictures sit on private storage, reachable only through links that expire after an hour.
Every change is recorded
Who did what, when, and what the value was before and after — so a question about a figure always has an answer.
Written down properly
Our privacy notice is written to the Personal Data Protection Act B.E. 2562 and describes this software specifically, not a template. It names every category of data we hold and what we do with it.
